ROAMLI, LLC Privacy Policy
Effective as of September 30, 2026 (posted August 31, 2026; previous version effective as of November 23, 2023)
This privacy policy (the “Privacy Policy”) applies to Roamli, LLC’s (“Roamli,” “we,” “us,” or “our”) collection, storage, use, and disclosure of personal information that may be collected by us when you interact with Roamli, such as when you visit our website, located at www.roamli.com (“Site”) and our user portal, located at portal.roamli.com (“User Portal”). We have created this Privacy Policy to tell you what information our Site and User Portal collect, how we use that information, and who we will share that information with, if at all. This Privacy Policy does not address the privacy practices of any third parties that we do not own, control, or are affiliated with. Capitalized terms not defined in this Privacy Policy will have the meaning set forth in our Terms of Use. By visiting and/or using our Site, you are agreeing to the terms of this Privacy Policy and the accompanying Terms of Use. We encourage you to read the Privacy Policy, and to use the information it contains to help you make informed decisions.
Certain terms used in this Privacy Policy have the same meanings as in our Terms of Use, summarized here for convenience: an “Event” is a location-based scavenger hunt, self-guided tour, challenge, competition, or similar experience created, hosted, or run on Roamli; an “Event Creator” is any person or organization (for example, a business, nonprofit, school, tourism organization, or individual) that creates, hosts, or runs an Event, and Roamli is the Event Creator of Events that it runs itself; a “Participant” is anyone who joins, plays, or otherwise takes part in an Event, whether individually or as part of a team or group, including a team or group member who plays without an account of their own; and “User Content” means any photos, videos, audio, text, captions, answers, comments, messages, and other materials that you (or someone participating through your account) submit, upload, post, or transmit through the Site or the User Portal, including answers submitted to Event challenges (each, a “Submission”). References in this Privacy Policy to the Site include the User Portal and the web pages through which Participants join and play Events.
-
Information We Collect or Receive. In the course of operating the Site, we will collect and/or receive the following types of information. You authorize us to collect and/or receive such information.
-
Personal Information. We only receive or collect information that identifies you personally if you choose to provide such personally identifiable information to us via email or other means. When you sign up to become a user or contact us, you will be required to provide us with personal information about yourself (collectively, the “Personal Information”). Such Personal Information may include your name, date of birth, e-mail address, physical address, home city, photo, and phone number. We do not collect any Personal Information from you when you use the Site unless you provide us with the Personal Information voluntarily.
-
Third-party Log In. If you sign in through Google, you are authorizing us to collect, store, and use, in accordance with this Privacy Policy, any and all information that you agreed that Google would provide to us through Roamli’s Application Programming Interface (“API”). Such information may include, without limitation, your first and last name, Google username, Google profile picture, headline, unique identifier and access token, and e-mail address. If you register or visit the Site through Facebook Connect or another social media website, you are authorizing us to collect, store, and use, in accordance with this Privacy Policy, any and all information that you agreed that the social media website would provide to us through its API. We do not receive or store your passwords for your social media accounts. If you interact with social media widgets, share content using social media share buttons, or access features of the Site that contains content or features provided by social media platforms, the relevant social media platforms may collect information. We encourage you to review the privacy policies of the social media platforms that you engage with as we are not responsible for their privacy practices.
-
Payment Information. If you choose to make a purchase or subscribe to a feature or service of ours that requires a fee, you will be required to provide us with your payment information, including, without limitation, bank account numbers, credit card or debit card numbers, account details, ACH information, and similar data (collectively, “Payment Information”). Such Payment Information will be collected and processed by our third-party payment vendors pursuant to the terms and conditions of their privacy policies and terms of use, and we do not obtain access to any Payment Information in connection with such purchases or subscriptions.
-
Geolocational Information. Certain features and functionalities of the Site are based on your location. In order to provide these features and functionalities while you are using your mobile device and/or computer, we may, with your consent, collect geolocational information through your web browser (collectively, “Geolocational Information”). Collection of such Geolocational Information occurs only while the Site is open in your web browser and you have allowed location access. You may decline to allow us to collect such Geolocational Information, in which case we will not be able to provide certain features or functionalities to you.
-
User Content and Event Activity. When you participate in an Event, we collect the User Content you submit and information associated with it, such as the username, display name, and profile photo on your account, any team or group name you play under, the Event and challenge the User Content responds to (including any location associated with that challenge), the date and time of the submission, its review status (for example, approved or rejected), and the points, rewards, and ranking you earn in the Event. Photos and videos can also contain information embedded by your device (sometimes called “metadata”), such as when and where the photo or video was taken, and that information may remain in the file unless you or your device removes it before you submit it. User Content may show or identify you or other people, so please only submit User Content that you have the right to share. If you play as a member of a team or group that submits through another person’s account (for example, the team’s Captain), User Content that shows you or that your team submits is submitted through that person’s account and is collected, used, and shared as described in this Privacy Policy.
-
Event Registration Information. An Event Creator may choose to have Participants register for its Event through Roamli. When you register for an Event, we collect the information you enter on the registration form (collectively, “Event Registration Information”). For a team’s Captain, this includes your name and a contact e-mail address (which may be different from the e-mail address on your account), the team name you choose, and the names and e-mail addresses of any teammates you list. For a teammate, this includes your name and e-mail address and the team you ask to join. For everyone who registers, it also includes any other details the Event Creator chooses to ask for (for example, a phone number or the answers to the Event Creator’s own questions), whether you are the parent or legal guardian of any Minors who will take part, and, if so, the name and age of each of those Minors as you provide them. Teammates can register without creating a Roamli account; if you do, this Privacy Policy still applies to the Event Registration Information you provide, and you can make any request described in this Privacy Policy from the e-mail address you registered with. We also keep a record of each person’s agreement to the Event Creator’s documents and to Roamli’s Terms of Use, Privacy Policy, and Community Standards, of each person’s confirmation that he or she is at least 18 years old, and, where applicable, of a parent’s or legal guardian’s consent on behalf of the Minors listed, together with the date and time of that agreement, the names and links of the documents as they were at that time, and the IP address and browser information of the device used (collectively, a “Consent Record”). Consent Records are kept so that we and the Event Creator can show that these agreements were given.
-
Third-Party Analytics. We and the third-party technology providers, ad exchanges, ad networks, advertisers, agencies, ad exchanges, and ad servers with which we work use third-party analytics services (e.g., Google Analytics) to evaluate your use of the Site, compile reports on activity, collect demographic data, analyze performance metrics, and collect and evaluate other information relating to the Site and mobile and Internet usage. These third parties use cookies and other technologies to help analyze and provide us the data. You consent to the processing of data about you by these analytics providers in the manner and for the purposes set out in this Privacy Policy. For more information on these third parties, including how to opt out from certain data collection, please see the Section titled “How to Opt Out of Third-Party Interest-Based Advertising” below. Please be advised that if you opt out of any such service, you may not be able to use the full functionality of the Site.
-
Other Information. In addition to the Personal Information, Payment Information, and Geolocational Information, we may automatically collect or receive additional information regarding you and your use of the Site; your interactions with us and our advertising; and information regarding your computer and mobile devices used to access the Site (collectively, the “Other Information”). Such Other Information may include:
-

-

-

We may use both session cookies, which expire once you close the Site, and persistent cookies, which stay on your mobile device or computer until you delete them and other technologies to help us collect data and to enhance your experience with the Site. Cookies are small text files a website can use to recognize a repeat visitor to the website. We may use cookies for various purposes, including to:
-

personalize your experience;

analyze which portions of the Site are visited and used most frequently; and
-
measure and optimize advertising and promotional effectiveness.

-
If you do not want us to deploy cookies in the Site, you can opt out by setting your mobile device or computer to reject cookies. You can still use the Site if you choose to disable cookies, although your ability to use some of the features may be affected.

-
Information Collected by or Through Third-Party Advertising Companies. We may share Other Information about your activity on the Site with third parties for ad distribution and ad optimization (defined as the tailoring, targeting (i.e., behavioral, contextual, retargeting, analyzing, managing, reporting, and optimizing of ads)). These third parties may use cookies, pixel tags (also called web beacons or clear gifs), and/or other technologies to collect Other Information for such purposes. Pixel tags enable us and these third-party advertising companies to recognize a browser’s cookie when a browser visits the site on which the pixel tag is located in order to learn which advertisement brings a user to a given site. In addition, we may receive Other Information from advertisers and/or their service providers such as advertising identifiers, IP addresses, and post-conversion data.

You authorize us to use the Personal Information, Payment Information, Geolocational Information, User Content, and the Other Information (collectively, the “Information”) to:
-
provide and improve our Site;
-
provide our services, including operating Events, reviewing and scoring User Content, awarding points and rewards, and displaying leaderboards;
-
share User Content and associated information with Event Creators, as described below;
-
promote Events and our Site, products, and services, including by displaying, reproducing, and publishing User Content in our marketing, advertising, and social media, as permitted by our Terms of Use;
-
administer our promotional programs;

Sharing with Event Creators. When you join or participate in an Event, we share with that Event’s Event Creator, and make available to the Event Creator through the User Portal, the User Content you submit to the Event and the associated information described in “User Content and Event Activity” above, including your username, display name, profile photo, and any team or group name. Event Creators can view, review, approve or reject, and download (individually or in bulk) the User Content submitted to their Events, and may receive reports about participation in their Events. If you register for an Event through Roamli, we also share your Event Registration Information with that Event’s Event Creator, including your name, e-mail address, any phone number or other details the Event Creator asked for, your answers to the Event Creator’s questions, your team and its members, the names and ages of any Minors you listed, and your Consent Record other than the IP address and browser information in it, and the Event Creator can view and download that information through the User Portal. Within a team, the Captain can see the name, e-mail address, and registration status of each teammate (but not a teammate’s answers, Minors’ details, or Consent Record), and a teammate can see the Captain’s name and the team name. We share Event Registration Information so that the Event Creator can run its Event, contact its Participants, and confirm that each Participant agreed to its documents; what the Event Creator does with it is governed by the Event Creator’s own privacy policy and practices, as described below. Under our Terms of Use, Event Creators may use the User Content submitted to their Events, together with the name, username, display name, and any team or group name shown with it, for their own purposes, including to reproduce, display, publish, and share it on social media and in their marketing, advertising, promotional, and other commercial materials, and may share it for those purposes with agents, contractors, and service providers acting on their behalf. This right applies to User Content submitted on or after the effective date shown at the top of this Privacy Policy. Event Creators are independent third parties, not Roamli’s service providers. Each Event Creator’s collection, use, and disclosure of your information is governed by that Event Creator’s own privacy policy and practices, not by this Privacy Policy, and we are not responsible for them. We encourage you to review an Event Creator’s privacy policy and to contact the Event Creator directly with questions or requests about its use of your information. Because you choose to join an Event and submit User Content to it, these disclosures are made at your direction, and we do not consider them a “sale” of your personal information. If you do not want an Event Creator to receive or use your User Content in these ways, please do not submit User Content to that Event.
-
Other Participants and the Public. Depending on how an Event is set up, your username, display name, profile photo, any team or group name, and your points and ranking may be visible to other Participants and to others who view the Event (for example, on the Event’s leaderboard or standings). If you register for an Event, the members of your team can see what is described under “Sharing with Event Creators” above. User Content that an Event Creator or Roamli publishes as described above will be visible to anyone who can view the place where it is published.
-
In order to provide our services and administer our promotional programs, we may share the Information (other than User Content) with our third-party promotional and marketing partners, including, without limitation, businesses participating in our various programs.
-
We engage third-party companies and individuals to perform functions on our behalf. Examples may include providing technical assistance, customer service, marketing assistance, and administration of promotional programs. These other companies will have access to the Information only as necessary to perform their functions and to the extent permitted by law.
-
In an ongoing effort to better understand our users, the Site, and our products and services, we may analyze certain Information in anonymized and aggregate form to operate, maintain, manage, and improve the Site and/or such products and services. This aggregate information does not identify you personally. We may share and/or license this aggregate data to our affiliates, agents, business and promotional partners, and other third parties. We may also disclose aggregated user statistics to describe the Site and these products and services to current and prospective business partners and investors and to other third parties for other lawful purposes.
-
We may share some or all of your Information with any of our parent companies, subsidiaries, joint ventures, or other companies under common control with us.
-
As we develop our businesses, we might sell or buy businesses or assets. In the event of a corporate sale, merger, reorganization, sale of assets, dissolution, or similar event, the Information may be part of the transferred assets.
-
To the extent permitted by law, we may also disclose the Information:
-
when required by law, court order, or other government or law enforcement authority or regulatory agency; or
-
whenever we believe that disclosing such Information is necessary or advisable, for example, to protect the rights, property, or safety of us or others, including you.
-
-
-
Accessing and Modifying Information and Communication Preferences. If you have provided us any Personal Information, you may access, remove, review, and/or make changes to the same by contacting us as set forth below. In addition, you may manage your receipt of marketing and non-transactional communications by clicking on the “unsubscribe” link located on the bottom of any of our marketing e-mails. We will use commercially reasonable efforts to process such requests in a timely manner. You should be aware, however, that it is not always possible to completely remove or modify information in our subscription databases. You cannot opt out of receiving transactional e-mails related to the Site (e.g., requests for support).
-
Deleting Your User Content and Your Account. You may delete your User Content from Roamli at any time, for any reason.
-
How to Delete User Content. To delete some or all of your User Content, e-mail us at info@roamli.com with “Delete My Content” in the subject line, from the e-mail address associated with your account if you have one, and tell us which Event or Events, and if you wish which specific User Content, you want deleted, or that you want all of your User Content deleted. You may make the same request for your Event Registration Information, from the e-mail address you registered with. We will respond to your request within 10 days of receiving it, and we may need to verify your identity before acting on it. Within 28 days of receiving your request (or, if we need more information to verify it, within 28 days of receiving that information), or sooner if applicable law requires, we will delete the requested User Content from the Site and the User Portal, including from the Event Creator’s views and download tools, stop making new uses of it, and let you know when we have done so. If we make a tool available for deleting User Content directly within the Site or the User Portal, you may also use that tool. If User Content submitted by someone else shows you or a Minor in your care, you may also contact us at the same address to ask that it be removed, and we will review your request.
-
Deleting Your Account. You may delete your account at any time from the “Delete Account” section at the bottom of your Profile page in the User Portal, or by contacting us at the address above. Deleting your account closes your account and removes your profile information, but it does not by itself delete User Content you have already submitted to Events or Event Registration Information you have provided. If you also want your User Content deleted, please send us a deletion request as described above, ideally before you delete your account, so that we can confirm the request comes from you.
-
What Deletion Does Not Do. Deleting User Content from Roamli removes it from the Site and the User Portal going forward. It does not, and cannot, recall or delete copies that an Event Creator or anyone else downloaded, published, shared, or otherwise used before your request, such as copies an Event Creator has saved, posted on social media, or included in marketing materials, and under our Terms of Use an Event Creator may continue to use copies of User Content that it obtained before your request. To ask an Event Creator to stop using or to delete those copies, please contact the Event Creator directly; the Event Creator’s handling of your request is governed by its own privacy practices. Likewise, if we have already included your User Content in our own marketing materials, we will not use it in new materials after your request, but we may not be able to remove it from materials that have already been published or distributed.
-
Information We May Retain. Deleted information may remain in our backup systems for a limited period until it is overwritten in the ordinary course, and we will not restore it to the Site or the User Portal. We may also retain certain information after a deletion request where we are required or permitted by law to do so, for example to comply with legal, tax, or accounting obligations, to resolve disputes, to prevent fraud or abuse, to enforce our agreements, to keep records of contest results and prizes awarded, or to keep Consent Records showing that an agreement or consent was given. We may also keep information that has been de-identified or aggregated so that it no longer identifies you. Deleting User Content may affect the points, rewards, or ranking associated with it.
-
-
How We Protect Your Information. We take commercially reasonable steps to protect the Information from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. Please understand, however, that no security system is impenetrable. We cannot guarantee the security of our databases or the databases of the third parties with which we may share such Information, nor can we guarantee that the Information you supply will not be intercepted while being transmitted over the Internet. In particular, e-mail sent to us may not be secure, and you should therefore take special care in deciding what information you send to us via e-mail.
-
Important Notices to Non-U.S. Residents. The Site and its servers are operated in the United States. If you are located outside of the United States, please be aware that your Information, including your Personal Information, may be transferred to, processed, maintained, and used on computers, servers, and systems located outside of your state, province, country, or other governmental jurisdiction where the privacy laws may not be as protective as those in your jurisdiction. If you are located outside the United States and choose to use the Site, you hereby irrevocably and unconditionally consent to such transfer, processing, and use in the United States and elsewhere.
-
External Websites. The Site may contain links to third-party websites. We have no control over the privacy practices or the content of these websites. As such, we are not responsible for the content or the privacy policies of those third-party websites. You should check the applicable third-party privacy policy and terms of use when visiting any other websites.
-
Age Requirements; Minors and Children.
-
Accounts Are for Adults. You must be at least 18 years old, or the age of majority where you live if that is higher, to create or hold a Roamli account, whether as a Participant or as an Event Creator. By creating an account, you confirm that you meet this requirement. If we learn that an account was created or is held by someone who does not meet it, we may suspend or delete the account and its associated information.
-
Minors May Participate With a Parent’s or Guardian’s Approval. A person who is under 18, or under the age of majority where they live if that is higher (a “Minor”), may not create or hold an account, but may take part in Events with the approval of the Minor’s parent or legal guardian. A Minor participates through the account of an adult account holder, who may be the Minor’s parent or legal guardian or another adult (for example, a team’s Captain, a teacher, or a coach), and under that adult’s supervision, subject to the additional rules for children under 13 below. Obtaining and confirming the parent’s or guardian’s approval is the responsibility of the adult account holder and of any Event Creator that runs an Event intended for Minors or that it knows will include Minors (for example, a school, camp, youth-group, or family Event). Roamli relies on them to do so. Where an Event uses Roamli’s registration, the adult who registers is asked whether he or she is the parent or legal guardian of any Minors who will take part and, if so, to list each Minor’s name and age and to confirm that he or she consents to their participation and accepts the Event’s documents on their behalf; we keep that confirmation in the adult’s Consent Record and share it with the Event Creator as described above. We do not independently verify the adult’s identity or his or her relationship to the Minor. If you allow a Minor to participate through your account, including as a member of a team or group that plays through your account, you confirm that you are the Minor’s parent or legal guardian or have obtained that person’s approval, and you are responsible for the Minor’s participation and for all User Content submitted through your account. User Content and other information submitted through your account, including User Content that shows or was created by a Minor, is collected, used, and shared as described in this Privacy Policy, including with the Event Creator of the Event as described in “How Information is Used and Shared” above. Please keep this in mind before submitting User Content that shows or identifies a Minor.
-
Children Under 13. The Site is not directed to children under the age of 13. We adhere to the Children’s Online Privacy Protection Act (COPPA) and will not knowingly collect Personal Information directly from any child under the age of 13. A child under 13 may take part in an Event only if (i) the child participates through the account of an adult, who may be the child’s parent or legal guardian or another adult such as a teacher, coach, or youth leader, and that adult personally operates the account, submits all User Content, and supervises the child; (ii) the Event Creator of the Event, or that adult, has first obtained the consent of the child’s parent or legal guardian, including any consent required by applicable law; and (iii) no personal information about the child is submitted in User Content (for example, the child’s name or contact details, or a photo, video, or audio recording in which the child can be identified). Where an Event uses Roamli’s registration, the child’s name and age may be provided by the child’s parent or legal guardian, or by the adult account holder who has that person’s consent, as part of registering; we collect those details only from that adult, use them only to administer the Event, and share them only with the Event Creator as described above. Event Creators and account holders who allow a child under 13 to take part are responsible for meeting these conditions. Children under 13 may not create accounts and should not provide any information about themselves to us, including through messaging. If we learn that we have collected Personal Information directly from a child under 13 without verifiable parental consent, we will delete it. If you believe a child under 13 has provided us with Personal Information, please contact us at info@roamli.com.
-
Parent and Guardian Rights. A parent or legal guardian may, at any time, ask to review, or ask us to delete, User Content and other information relating to a Minor in his or her care, and may withdraw approval of the Minor’s participation at any time, by contacting us at info@roamli.com. We may need to verify that you are the Minor’s parent or legal guardian before acting on your request. Deletion requests are handled as described in “Deleting Your User Content and Your Account” above, including the limits described there.
-
-
California Privacy Rights: Under California Civil Code Section 1798.83 (California’s “Shine the Light” law), California residents who have an established business relationship with us may choose to opt out of our sharing their contact information with third parties for direct marketing purposes. If you are a California resident and you wish to opt out, please send an e-mail to info@roamli.com. California residents who are our users in California now have the right to see a report summarizing all of their personal data that we have collected and to request the removal of their data from our computer systems.
-
Nevada. You have the right to opt-out of the sale of your personal information. Roamli does not sell your personal information. Access requests may be made directly to info@roamli.com.
-
Changes to This Privacy Policy. This Privacy Policy is effective as of the date stated at the top of this Privacy Policy. We may change this Privacy Policy from time to time. Any such changes will be posted on the Site. If we make material changes, we will also notify you by e-mail or by a notice on the Site, and those changes will take effect 30 days after they are posted. By accessing the Site after any such changes take effect, you are deemed to have accepted such changes. Please be aware that, to the extent permitted by applicable law, our use of the Information is governed by the Privacy Policy in effect at the time we collect the Information. Please refer back to this Privacy Policy on a regular basis.
