You're inviting your employees, students, members or visitors to play.
Here's how Roamli handles their accounts, their submissions and your
event, without the legalese. The formal version lives in our
Privacy Policy and Terms of Use.
How players join
Players open your event from a link, a QR code or an event code, in
their phone's browser. There's nothing to install. Anyone can open
an event and look around, but to submit answers, earn points
or collect rewards, a player logs in or creates a free Roamli
account. That's what ties their progress, and any prize, to
the right person.
Sign-in is handled by Auth0, a widely used identity provider, so
passwords aren't stored in Roamli's own database.
What we collect
Account basics: things like a name, username and email address, provided when someone signs up.
What players submit: the photos, short videos and text answers they send for your challenges, plus any captions.
Game progress: points, which submissions were approved or declined, and rewards earned or redeemed.
Website analytics: our website and player pages use Google Analytics, and visitors can decline it in the cookie banner.
As an organizer, you see what you need to run your event: each
participant's points and submissions, and per-challenge counts. The
details of what we collect and why are in the
Privacy Policy.
Location
If a player allows it, their phone's location shows them where they
are on the event map, which makes finding the next stop easier.
It's optional: players who decline can still play. Roamli doesn't
use location to grade answers; challenges are completed with a
photo, a video or a text answer that your team reviews.
Moderation
You stay in control of what counts. Every submission lands in a
review gallery where your team can approve it, or decline it as
incorrect or inappropriate, individually or in bulk, and change a
decision later. If you'd rather keep things moving, turn on
auto-approve; text answers that match your accepted answers are
approved automatically either way.
When the game is over, organizers can download every photo and video
from their event as one zip file (with a spreadsheet of captions),
and export text answers per challenge. Players can download a zip
of their own photos and videos, too. How rights to that content work
is covered in our Terms of Use; if your
organization has specific requirements for using player photos in
marketing, tell your players up front and talk to us.
Payments
Subscriptions are processed by Stripe. Card details are entered on
Stripe's secure checkout and handled by Stripe, so Roamli never sees
or stores your full card number. You can change your plan from your
account at any time.
Where it runs
Roamli runs on Microsoft Azure, and the site and player experience
are served over HTTPS, so traffic between a player's phone and
Roamli is encrypted in transit.
